Restricted Editors cannot replace or delete a file that someone else uploaded; however, they can replace or delete an image or document if they uploaded the original document. To do this follow these steps. 



Replacing a file

Reminder: Restricted editors can only replace Documents they originally uploaded.


  • Go to content-->Files

  • Search for MIME Type: pdf,document(word and powerpoint)
  • You will see a "Used In" column, click on the link
  • Now click on the Entity link
  • You will be taken to the page where you can edit the Entity, remove the old file and add the new file. 


This process will create a redirect if you have linked to the media through Drupal.  If you manually created a link or linked from an external website or email, this will not work.  If this is the case, you will need to contact the Web Team, and we will need to create a redirect for you.



Delete a file

Reminder: Restricted editors can only delete Documents they originally uploaded.
Before you delete a document, be sure to remove any instance where you are using it.


This is a two-step process. First, delete the document, then delete the media entity and the file itself. 

Step1

  • Go to contents-->Media
  • Find your media
  • Go to Operations and use the dropdown
  • Select Delete
  • Confirm the delete

Step 2

  • Go to Content --> Files
  • Find your file
  • Go to Operations and use the dropdown

  • Select Delete

  • Confirm the delete
Depending on how long it has been up, the document may have a cache.  If so, you may need to wait for the cache to clear. 
This approach will not work on submitted form content, but form responses get deleted within the form interface. If this is the case, you will need to contact the Web Team.
