If you're looking to publish your content at a specific date and time or would like for it to stop being available after certain date this article will show you how to achieve this.

This guide requires a user with the Site Editor role. If you don't have publishing permissions you will NOT be able to make the necessary changes.



Scheduling Content

If you would like to schedule content you're creating or editing, use the following steps:

  1. Go to Create or Edit the content you wish to schedule.

    • Please note: this feature is only available to PagesArticlesor Departments.

  2. After having made the changes, in the right sidebar, look for the Scheduling Options
    • Scheduling happens periodically every 15 minutes. These periods line up to publish the changes at standard intervals, i.e., 9:00, 9:15, 9:30, 9:45, etc. 

      To ensure your content is published at the next available time interval, set it to publish 5 minutes before. For example, if you want to publish your content at 9 a.m., use instead 8:55 a.m.; if you want to publish your content at 4:30 p.m., use instead 4:25 p.m. and so on.

    • For Publishing
      • Use the Publish On field
      • Then set the Publish State to Published

    • (Optional) For Archiving:
      • Use the Unpublish On field
      • Then set the Unpublish State to Archived.This field is optional. If you only want to schedule when the content is published, you don't need to fill it out.

  3. Change the State of the content to Approved / Pending. Be careful: Draft and In Review will be published as well, see our notes below for more details.

  4. Save




Approving Requested Scheduled Content

If you're editing content and find that they have been requested for scheduling, please use the following steps:

  1. Scheduled Content that is ready for review will be found in the Moderated Content tab as usual.

  2. Review the content as usual, after you've confirmed it's approved please continue to next step.

  3. In the Sidebar > Scheduling Options, the date and time should have already been set by the person who submitted the work.

  4. Complete the process as seen in steps 2, 3, and 4, listed above.





Unscheduling Content

To unschedule content you simply need to reset the values in the Scheduling Options field.

  1. Go to Edit the article to unschedule

  2. In the Sidebar > Scheduling Options
    1. Delete the contents of the Un/Publish On fields.
    2. Set the Un/Publish State fields to - None -

  3. Set the State as needed, Draft, Approved, or Published.

  4. Save




Things to Avoid

  • DO NOT save your contents in the states of "Published" or "Archive". Even if you configure a schedule, by saving a content as "Published" it will be immediately published/archived. Use instead "Approved / Pending".

  • It's important to note that regardless of whether you set the state to Draft, In Review, or Approved the content will be published as long as the Scheduling Options fields are filled in. This happens because the system makes no distinction between the current states, the scheduler is tasked simply with moving the given article to the specified state at the specified time. Nonetheless, the recommended state, for clarity, is "Approved".

  • Changing the Title will in turn change the URL. This change reflects immediately.

  • Do NOT forget to update the Publish State or Unpublish State fields. The scheduler will NOT know what state to change the content to when the time comes and it won't do anything.

  • If a user schedules a page, Restricted Editors will NOT be able to make edits.  To resolve this you will need to un-schedule the page.
